Position Overview:
The Virtual Office Manager is crucial to the success and efficiency of the team. This role involves managing daily operations, supporting the General Manager, and working closely with the Lighting Technicians to ensure productivity and smooth functioning of the business. The ideal candidate will possess strong organizational and customer service skills, as well as the ability to manage a virtual office environment effectively.
Key Responsibilities: Answer and manage incoming calls from potential clients promptly, ensuring timely and reliable customer service. Schedule and confirm appointments with clients, entering information into internal systems. Follow up on company emails, vendors and portals / dashboards. Record, track, and distribute sales metrics and internal performance metrics. Organize and store company digital files, quotes and invoicing. Organize and send out weekly summaries and assignments for internal team members. Reach out to potential leads about service offerings, promotional services, or new products. Monitor and provide updates for the corporate website. Order materials and supplies as needed. Qualifications: 3+ years of professional experience in office management or a related field.Strong communication, customer service, and organizational skills.Proficiency in English, with Spanish language skills highly desired.Familiarity with Microsoft Suite and a basic understanding of social media platforms and website management. Nice-to-Haves: Experience in managing a virtual team.Knowledge of the lighting industry or a related field.
