Job Overview The Head of Operations will oversee and manage the day-to-day operational functions of the company, ensuring smooth financial and operational workflows across all departments. This individual will be responsible for accounting oversight, operational supervision, customs and port authority coordination, contract management, data analytics support, and process improvements. The role requires a strong leader who can supervise teams, manage tasks across various operational areas, and ensure the timely and accurate completion of critical financial and operational duties.
Key Responsibilities: Prepare and overview sales and purchase contract negotiation, invoicing and set of docs, and order confirmation. Oversee transport and distribution to ensure timely delivery and efficient logistics management. Revenue operations - issuing invoices, processing incoming invoices, processing and tracking payments, managing overdue invoices. Ensuring statutory reporting compliance including VAT declarations and Intrastat reporting. Working closely with other heads of departments to improve efficiency (finance, operations, sales procurement, logistics). Collaborate with sales department to overview the KPIs compliance. Collaborating with our finance department to ensure deal financing. Automating existing process workflows to reduce manual work and improve process stability and scalability. Creating and delivering presentations and monthly reports. Analyzing productivity data and optimizing staffing and production capacity. Data organizing and data analysis. Assisting in the optimization of sales and operations workflows. Monitor production KPIs and report on performance. Implement continuous improvement initiatives to enhance productivity. Lead and promote an innovative culture. Designing new processes to improve quality or increase productivity or profitability. Provide coaching and guidance to the operations team, addressing performance issues and identifying opportunities for growth and improvement. Analyze current operational processes and systems, identifying inefficiencies or gaps and implementing solutions to improve productivity and quality. Develop and implement the company's operational strategy in alignment with corporate goals and objectives. Qualifications: Bachelor's degree in Business Administration, Operations Management, Industrial Engineering, or related field. MBA or equivalent advanced degree preferred. 3+ years of experience in trading operations in a B2B trading environment for physical goods (commodities, ideally metals) with at least 2 years in a leadership role. Understanding of commodity (metal) trading processes and documents. Experience with truck and ship logistics, including an understanding of incoterms and risk transfer. Familiarity with legal requirements regarding regional and export shipments and respective documentation. Knowledge of customs procedures, including simplified customs authorizations and documentation handling. Experience with project management tools and operational software (e.g., Salesforce, Zohobooks, Siigo other IT Platforms). Understanding of payment terms and experience actively managing receivables. Familiarity with B2B invoicing processes. Experience with handling customer claims in a physical goods / trading environment. Advanced knowledge in Excel/Google Sheets. Strong quantitative skills - able to handle large amounts of data. Strong track record of achievements. Solid organizational and time management skills. Excellent verbal and written communication skills in English. Strong communication and interpersonal skills, with the ability to influence and collaborate across all levels of the organization.
