We are seeking a Junior Executive Assistant (EA) to join our Operations Team at Foolproof.
This team includes HR, IT, Front of House, and Talent Acquisition, and works together to ensure the smooth functioning of the company.
While the primary focus of this role is outlined below, the Junior EA may occasionally be asked to assist with other tasks across the Operations Team.
The Role As a Junior EA, you will support the COO and work closely with other Leadership Team members.
Your responsibilities will include providing administrative support, managing diaries and logistics, and offering general welfare assistance.
You will handle sensitive information with discretion and confidentiality, and professionalism will be expected at all times.
Trust is central to the role, and you will build strong, respectful relationships with those you support.
We are looking for a candidate who is flexible and willing to work across different time zones when necessary.
As the COO and Leadership Team may have engagements with global clients and partners, there may be times when you'll need to adjust your working hours to accommodate meetings or deadlines.
To be considered you must be willing to work from our offices at least twice a week.
Responsibilities Be the first point of contact for the COO's office.
Manage the COO's schedule and office operations.
Build connections with client PAs/EAs to expand the COO's network.
Arrange travel, accommodation, and visas.
Proactively manage diaries and meeting logistics.
Organize meetings and ensure all details, including refreshments, are handled.
Assist with ad hoc tasks and errands as needed.
Prepare and submit expenses on time.
Take minutes during team meetings.
Coordinate company events and parties.
Desired qualifications and behaviours Minimum 2 years of administrative experience, preferably in a PA/EA role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Self-motivated, enthusiastic, and committed to representing the company positively.
Communicates clearly and effectively, both in writing and verbally.
Balances big-picture thinking with attention to detail and prioritisation.
Demonstrates strong organisational skills.
Attends regular meetings and participate in company events.
