The Role: Operations Assistant As we rapidly scale, we are seeking an Operations Assistant to streamline operations, support the CEO, and contribute to the success of both Respiris and our fractional HR clients, while playing a critical role in supporting the marketplace operations of our job search coach network. This role offers a unique opportunity to work closely with our CEO, Angel Cruzado, and other key team members to ensure smooth day-to-day operations, assist with business development, manage client relationships, and support various growth initiatives.

Your responsibilities will include managing the CEO's email and calendar, assisting with business scaling efforts, and collaborating with the Automation Engineer to streamline operational workflows. You will also be key in supporting the marketplace operations, helping to source, onboard, and manage job search coaches in our managed marketplace, ensuring their seamless integration and ongoing success. In addition to organizing meetings and coordinating across multiple clients, you will take charge of essential operational processes, allowing the team to focus on driving sales, closing deals, and expanding our impact.

Key Responsibilities: CEO Support: Manage the CEO's email inbox, ensuring timely responses and prioritizing important communications. Oversee the CEO's calendar, scheduling meetings across multiple clients, both for Respiris and the CEO's fractional HR engagements. Marketplace Operations: Help source, onboard, and manage job search coaches for our managed marketplace. Ensure that coaches are integrated smoothly into our operations and are equipped to provide value to our clients. Meeting Coordination: Organize and schedule meetings with clients, internal teams, and external stakeholders. Ensure smooth communication and scheduling across various platforms and time zones. Client Operations & Support: Assist in managing relationships with clients, ensuring timely follow-ups, handling communications, and coordinating projects across Respiris and fractional HR clients. Collaboration with Automation Engineer: Work closely with the Founding Automation Engineer to help scale Respiris by supporting automation initiatives that streamline sales, marketing, and operations processes. Sales Support & Lead Management: Assist with sales pipeline management, tracking leads, and preparing reports. Coordinate follow-ups and support the sales team's efforts to drive business growth. Business Process Improvement: Identify opportunities for process optimization and work to implement systems that enhance efficiency. Assist in documenting workflows and procedures that support company growth. Administrative & Operational Tasks: Manage daily administrative duties, including handling emails, organizing meetings, coordinating travel, and ensuring tasks are completed on time. Data & Reporting: Track key performance metrics and ensure the accurate reporting of operational, client, and sales data. Maintain and manage databases to ensure data accuracy and reliability. Project Management: Assist the CEO in managing projects, tracking deadlines, and coordinating initiatives across multiple teams and clients, ensuring that projects are delivered on time. Requirements 3-6 years of experience in an operations assistant role. Excellent verbal and written communication skills in English, with the ability to clearly convey information and follow up on tasks. Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively. Strong time management skills and proficiency in managing calendars and emails efficiently, ensuring nothing falls through the cracks. Proficiency with office software (e.g., Google Workspace, Microsoft Office) and experience with CRM tools (e.g., Salesforce, HubSpot). Familiarity with scheduling tools and time management best practices. Ability to work both independently and collaboratively with teams, especially in a startup or fast-paced environment. Previous experience in a startup, operations, or supporting senior leadership is a plus. Benefits Competitive salary ranging from $1,000 to $1,500 per month, depending on experience.
