About the Role:

The executive assistant will support the CEO with logistical, operational, and sales support, including--but not limited to--scheduling, managing daily priorities, managing and planning travel itineraries, managing events, conducting research, and managing high-level relationships.

Transparently, the base salary will be relative to your level of reliability. Ways that make it worth it:

When traveling:

1. Living expenses will be covered
2. The grocery budget is covered

Throughout the year:

1. Additional earning potential through sales you help the CEO facilitate and close
2. While socializing at events on behalf of the company, any leads you bring in, you'll receive 2-10% (average deal size is $44,000).


Scheduling and managing daily priorities

OST is growing fast. The CEO balances support for the organization and cultivating new relationships with potential clients. His executive assistant is a crucial team member who helps him maximize each day. With the support of other team members, his assistant ensures that daily meetings are set up for success and that there is a clear work plan to support the operational needs of the growing company. This role will coordinate internal and external meetings.

- The CEO's schedule is dynamic. It is crucial to anticipate the needs of the CEO and design his schedule weeks ahead with him in mind.
- Ensure that the CEO understands the daily priorities presented by the internal team and external sales cultivation. Prepare all essential preparation and support research for the CEO's external meetings.
- Plan and coordinate a seamless run of the CEO's daily schedule with a daily agenda shared at the end of each evening for the next day.
- Manage a high volume of email traffic.
Organize inbox to set daily priorities and monitor and respond to correspondence when appropriate.

Planning and managing travel itineraries

OST is cultivating networks with strong lead potential across the United States. The CEO's main responsibility is cultivating new relationships and maintaining existing relationships to foster potential collaborations and partnerships. Multiple times a year, for anywhere from 1-3 months at a time, our team is planning a cross-country tour to allow the CEO ample in-person opportunities to meet with new clients, attend networking events, and host gatherings for tech leaders to connect over industry insights. The business will cover most accommodations.

- Accountable for overseeing, arranging, and booking all travel and check-ins, coordinating with all stakeholders, and planning for the CEO's needs throughout the journey.
Must understand travel budget and preferences, working to enact them or communicating when preferences are not attainable.
- Provide clear, comprehensive travel packets, including detailed travel itineraries, logistical confirmations, meeting times and attendees, meeting briefs, etc.
- Maintain accurate details for meetings before travel and add to necessary calendars.

Managing events and high-level relationships

Help CEO with marketing and social initiatives - coordinate the details with the company's prebuild event templates so he can execute.

To cultivate new networks and relationships across the United States, the OST team plans to host events in San Francisco, New York, and Miami that bring together exciting startup leaders and valuable connections in the tech ecosystems.
The CEO's assistant will play a key role in planning and managing the events and gatherings in each city. This will require proactive research about venues, food vendors, and equipment rentals in addition to collaborating with the CEO to promote each event.

- Lead and oversee all event-related details from ideation through to delivery.
- Maintain an organized list of attendees and support the CEO in cultivating post-event relationships.

Qualifications

A competitive candidate will have some background in the tech industry and have a general understanding of software businesses. This role is focused on delivering excellent administration and operational support. A minimum of 2 years of experience in a service or administrative role in a relatively demanding professional environment is expected.

- Excellent relationship management skills: the ability to understand the players, their needs, and their timelines and treat them with dignity.
- Excellent project management skills: ability to understand the goal, the deliverables involved, the activities required to meet them, and the timeline to execute.
- Excellent verbal and written communication skills: crisp, clear, proactive across multiple modes of communication: emails, Slack, text messages, calls, etc.
- Ability to remain calm when plans change or plans go awry
- Ability to create structure and order out of disorganized assignments and ideas
- Ability to anticipate needs and identify challenges before they arise.
Ability to solve for them or communicate barriers up the line.
- You are proactive, take ownership of your responsibilities, and can communicate when there are competing priorities.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Ability to quickly adapt, learn, and solve problems.
