Overview: We are seeking an experienced and highly skilled Executive Assistant to provide exceptional support to our Executive Leadership Board. As the Executive Assistant, you will play a critical role in ensuring the smooth functioning of the executive office and facilitating effective communication between the leadership team and various stakeholders. This position requires a high level of professionalism, strong writing and communication skills, and advanced proficiency in MS Office applications.
Responsibilities: Calendar and Schedule Management: Efficiently manage and prioritize the executives board's calendars, including scheduling meetings, appointments, and conference calls. Ensure optimal time utilization for the leadership team. Prepare meeting agendas, collate relevant materials, and take detailed minutes. Business Intelligence Support: Assist the executive leadership in various strategic projects, conducting business analysis, and providing support as needed. Communication Coordination: Act as the primary point of contact for internal and external communications on behalf of the executive leadership. Handle emails, phone calls, and correspondence with utmost professionalism and confidentiality. Document Preparation: Draft, edit, and format documents, presentations, and reports for the executive leadership. Ensure accuracy, clarity, and consistency in all materials. Travel Arrangements: Coordinate complex travel arrangements for the executive leadership, including booking flights, accommodations, and ground transportation. Prepare comprehensive travel itineraries. Confidentiality Management: Handle sensitive and confidential information with the utmost discretion and confidentiality. Stakeholder Relations: Liaise effectively with internal and external stakeholders, including clients, partners, and other senior executives. Qualifications: We're looking for candidates who have: Proven experience as an Executive Assistant supporting executive leadership board members, demonstrating a track record of providing exceptional support to senior executives. Bachelor's degree in Business Administration, Management, or a related field (preferred but not mandatory). Excellent English writing and communication skills, with a keen eye for detail. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time management skills, with the ability to multitask and prioritize effectively. Discretion and ability to handle confidential and sensitive information with the highest level of professionalism. Exceptional interpersonal skills and the ability to work collaboratively with diverse stakeholders. The ability to thrive in a fast-paced and dynamic environment, are proactive, resourceful, and adaptable. Good organization skills and are detail-oriented. A strong work ethic.
