This is a remote position. About AALB: AALB is a 501(c)(3) nonprofit organization focused on improving language access in healthcare. We provide medical interpreter training and work to bridge the gap for individuals with language barriers. We are looking for a skilled Executive Assistant to support our operations team and Executive Director, ensuring a smooth training experience for our students and effective communication with our team and clients.
Position Overview: We are seeking an experienced and detail-oriented Executive Assistant to work directly with the Executive Director. The ideal candidate must be highly organized, tech-savvy, and have a background in medical interpretation or a strong willingness to become a subject matter expert in this field. A high level of English proficiency, both written and spoken, is essential for success in this role. This position is 100% remote with optional invitations to come meet the team in-person.
Essentially, the executive assistant will be responsible for working directly with the Executive Director to ensure the operations of the nonprofit organization are running smoothly.
Key Responsibilities: Communication: Handle incoming phone calls and emails with professionalism, ensuring timely and accurate responses. Respond to comments on social media. Work with the team to make high-quality social media posts 1-2 times per week. Maintain internal communication between team members, keeping everyone aligned on key tasks and priorities. Recruitment: Meet with individuals interested in becoming medical interpreters, providing them with information to help them make informed decisions about our training programs. Assist with the recruitment process, answering questions and guiding candidates through the decision-making process. Training Schedule Management: Oversee the coordination of our training programs, ensuring that all sessions are scheduled, and both instructors and students are properly informed. Customer Support: Assist clients and students with technical issues related to their training programs, ensuring they have a smooth and positive experience. Proactive Problem Solving: Be proactive in problem solving for the organization, utilizing critical thinking and decision-making skills without the need for micromanagement. Executive Support: Provide high-level administrative support to the Executive Director, proactively addressing operational issues and streamlining processes where possible. Work with the team to ensure all required tasks are completed with great attention to detail. Serve as the Executive Director's point of contact for routine inquiries and tasks, exercising sound judgment to escalate only essential matters to his attention. As the organization grows, these responsibilities are subject to change.
Qualifications: Required: Extremely Strong English proficiency (written and oral). Exceptional attention to detail and organizational skills. Technological competence, with experience using communication tools and troubleshooting technical issues. Ability to manage multiple tasks and work independently. Very high level of proficiency in Excel/Google Sheets. Skilled with AI tools. Very organized & proactive in meeting their responsibilities. Must have a relatively flexible schedule. The ability to work approximately 40 hours a week in a virtual environment. Preferred: Training or experience as an interpreter. Experience in customer service, recruitment, executive/administrative assistance, or other related fields. Able to come to Chicago at least once per year in order to support organization of the annual AALB & Ann & Robert H. Lurie Children's Hospital Conference (expenses are covered). Medical interpretation is a niche but critical field, and we're looking for someone who sees this as more than just a job.
