Job Summary The Document Control Associate is responsible for managing and maintaining the company's documentation system, ensuring all documents are properly controlled, up-to-date, and accessible to authorized personnel. This role involves working closely with various departments to support compliance and streamline document management processes.
An entry-level or mid-level position focused on supporting document management activities, maintaining accurate records, and ensuring documents are properly filed and accessible.

Document Management: Maintain and organize physical and electronic documents to ensure easy retrievability. Distribute documents to appropriate stakeholders as required. Enter document data into management systems with accuracy and completeness. Scan, print, and make copies of documents. Provide general administrative support to the document control team. Assist with preparing documents for review and approval. Configuration Management & Change Control: Support the implementation of change control tools. Control serial numbers in the ERP database and ensure accuracy and consistency of labeling physical products. Regulatory Compliance: Ensure all documents meet company Quality Management System requirements. Assist in preparing and providing documentation for audits and inspections. Quality Assurance: Assist in regular audits to ensure document integrity and compliance. Collaboration and Communication: Coordinate with various departments to gather, review, and process documents. Training and Support: Set up the employee training requirement and maintain the training records. Assist the Document Control Specialist and Technical Document Writer in developing and maintaining training materials and user guides for document control systems. Position Requirements High school diploma or GED required. Bachelor's Degree in Business Administration or similar major is preferred. One or two years of experience in maintaining document control/document management systems or similar work. Strong attention to detail and organizational skills. Proficiency in Microsoft Office Suite and basic document control software. Ability to follow written procedures and verbal directions. Ability to participate in group meetings. Physical Requirements Hearing and speaking to exchange information in person, on the telephone or virtually. Dexterity of hands, fingers, and wrist to operate a computer keyboard, calculator or assemble/manufacture intricate items. Seeing to read a variety of materials. Sitting or standing for extended periods of time. May need physical agility to lift 20 pounds to shoulder height. Physical agility to lift, carry, push, or pull objects. Pay/Salary Information Salary range for this position is $23.36-$27.00 Hourly.
