Job Title: Administrative Assistant (Remote/Part-Time) We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. In this role, you will provide critical support to ensure the smooth operation of the business. You will excel at scheduling appointments, managing travel arrangements, and handling administrative tasks with efficiency and accuracy. Responsibilities: Schedule Management: Strategically schedule appointments and meetings, considering priorities and potential conflicts. Maintain an up-to-date calendar and communicate schedule changes effectively. Prepare and send a weekly summary of schedule. Travel Coordination:Utilize the company business credit card to book flights and hotels for client trips. Create accurate summaries of client trip itineraries and logistics. Meeting Support: Take clear and concise notes during meetings as needed. Administrative Tasks: Manage and process business paperwork for state and government filings. Assist with the billing process (following established procedures). Utilize our internal software to send contracts to clients. Order office supplies as needed. Additional Skills (Nice to Have): Proofread documents for clarity and grammar. Qualifications: Minimum 2 years of experience as an Administrative Assistant or similar role. Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously. Excellent communication and interpersonal skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Ability to learn and adapt to new procedures and software. Time management skills to meet deadlines effectively.
