Chevron Buenos Aires Shared Services Center is accepting online applications for the Administrative Assistant role. This position provides support for the Buenos Aires Service Center (BASSC) HR Function team and provides executive support for the HR Function Site Lead. The role manages a variety of the team's workplace needs, helps to organize HR Function activities, supports travel and visitors, and partners with admin professionals from other functions to help support cross-functional, all-BASSC activities.
Responsibilities for this position may include but are not limited to: Executive Support: Assistant to the HR Site Lead in daily activities, meeting logistics/coordination, manage travel and expense reports and other administrative activities.Provides general support to the local HR and Leadership Team.Coordinates the agenda and logistics of corporate business visitors, including events and office support.Coordinates office transportation.Vendor Administration: Coordinates with vendors on behalf of the Business Unit for operational requirements, including sourcing, contracting, ordering, preparing invoices, and processing payments in accordance with Chevron's Procurement processes.Supports the logistics and coordination of HR internal events including meetings, business travels, trainings, town halls, team building, and other activities.Manages the BASSC HR distribution lists.Independently completes special projects as requested.Works collaboratively with other Administrative Assistants to provide support for BASSC cross-functional activities.Admin Assistant Network participation: active collaboration with global Admin community (US, Manila, and BASSC) to share best practices, request information, and standardize processes. May assist other leaders outside of HR as needed.Requirements: At least 2 years' experience as an administrative professional or business support for a multinational company in a fast-paced, complex office setting.Knowledge of Microsoft Office applications: Excel, SharePoint, Word.Advanced level of English.Strong communication skills – able to communicate clearly and professionally, both internally and externally in a clear, concise, and effective manner.Proactive with strong organizational skills and autonomy.Ability to plan, balance, and multi-task job responsibilities based on business need and prioritize conflicting demands within tight deadlines.Experience in planning, coordinating, and organizing office events.Proven analytical and problem-solving skills.Maintain the highest level of confidentiality.Must be flexible with work schedule due to business demands.Relocation Options: Relocation will not be considered.
