As a Senior Associate — Account Coordinator, you work across all service lines within the organization and serve as the coordinator for medium to large projects from initiation to completion. You will scope and evaluate project needs, recommend project solutions, estimate costs and timelines, and cultivate internal client relationships. This role collaborates with the creative lead to drive an effective workflow that includes project coordination tasks such as working with external vendors, aligning appropriate resources, creating timelines and project trackers, distilling reports on project metrics, capturing key project details, and appropriately distributing that information to clients and creative team members.
Your key responsibilities:
Collaborate and team with project managers on medium to large projectsCoordinate multiple projects simultaneouslyUnderstand project requirements to track and maintain the project as needed throughout the project life cycle to effectively manage costs and deadlinesScope and recommend resource needs based on required deliverables, skillsets, and talentDevelop internal client relationships and understand expectationsReact appropriately to unexpected situations, escalate challenges to project manager, creative lead, or leadership as necessaryAssist with the creation and management of project documents such as estimates, timelines, meeting captures, and trackersTrack and analyze project risks and recommend improvements or solutionsSchedule and attend calls with project manager/creative leadCommunicate timeline changes and new information to team; adjust schedules as neededRecord detailed notes during meetings and communicate to clients, then follow up on agreementSupport the planning function and day-to-day operations in our Adobe Workfront intake toolAssign resources based on assessment of project requirements and by applying effective knowledge of resource skill setsNegotiate deadlines with internal clients and re-prioritize projects to gain availability of appropriate resourcesWork with the Account Manager or Creative Manager to source assignments for any required role(s)Confirm that each team has the right resources and tools it needs to meet project milestones and deadlinesBalance workload among team membersSkills and attributes for success:
Experience in project coordination/project management and resourcing of assignments in creative/design, advertising, or marketing organizationDemonstrate well-developed organizational and analytical skills with attention to detail and excellent follow-throughPossess excellent internal client service skillsUnderstand key requirements of the approval, scheduling, and lifecycle processesUnderstand and adhere to organization's policies and procedures, review and approval processes, and distribution and data management techniquesInteract effectively and maintain a positive demeanor in a fast-paced environment, while demonstrating tact and diplomacyDemonstrate dependability, strong teaming skills, and the ability to prioritize and meet deadlines in a fast-paced environmentPossess the ability to think independently with sound judgmentAbility to communicate well in person, in writing, and by voice and video call within all levels of the organizationFluency in English (both written and spoken) required for effective communication and collaboration with US-based individualsTo qualify for the role, you must have:
Bachelor's degree in business administration or related field, or equivalent work experience requiredAt least 5 years of related experience in a fast-paced global environmentIdeally, you'll also have:
Valid and current PMP certification or equivalent experience and trainingTechnologies and Tools:
Demonstrate proficiency with standard software applications (e.g., Microsoft Office)Proficient in project management software; experience working in Adobe Workfront is a plusExperience and knowledge in digital and print mediaOther Requirements:
Extended workday is required as neededRequired to work an 11 a.m. to 8 p.m. shift (Argentina time) to align with US business hours.What we look for:
