Join a leading New York based low-voltage installation and service company as an Operations Coordinator, where you will play a crucial role in managing administrative and operational tasks across various functions.This position is ideal for a self-motivated individual who excels in a dynamic environment and can handle multiple responsibilities.The Role- Bookkeeping : Handle vendor invoice reconciliation, process payments, manage quarterly tax reports, and oversee financial transactions.- Client Engagement : Create and send out quotes, invoices, and service contracts. Perform consistent follow-ups and ensure invoices are paid on time, with overdue alerts and weekly updates.- Company Branding :Manage the reorders and tracking of employee uniforms, brochures, newsletters, business cards, and promotional items.Assist in maintaining active social media presence and gather Google reviews.- Customer Support : Manage service tickets, adjust user system access as needed, and provide basic customer support.- Daily Operations : Monitor employee time attendance, compile job reports, manage client scheduling, and ensure end-of-day updates.- Reception : Manage incoming calls, take detailed messages, and ensure client information is up-to-date.- Office Management : Utilize Adobe and Excel for various tasks including marking up blueprints.- Vehicle Oversight : Keep track of company vehicles' mileage, maintenance schedules, inspections, and any associated documentation.Ideal Profile- Knowledge in Simpro software strongly preferred.- Strong organizational and multitasking skills, with the ability to work independently.- Proficiency in Adobe, Excel, and ideally Simpro software, or willingness to learn.- Excellent communication skills, both written and verbal, with attention to detail in documentation.- Demonstrated ability to follow up effectively on tasks and manage projects to completion.- Experience in a similar role within the service or installation industry is preferred.If you are a detail-oriented, reliable individual eager to take on responsibility in a supportive and growing company, we encourage you to apply.What's on Offer?- Work alongside & learn from best in class talent- Excellent career development opportunities- Leadership Role
