Position Overview:
We are seeking an experienced and proactive Executive Assistant (EA) to work directly with our founder and support several early clients. This role will be foundational in building key operational infrastructure as well as helping onboard and train new EAs as the business grows. With opportunities to expand into leadership, project management, and even a potential Chief of Staff role, this position is ideal for someone interested in growing with the business while contributing strategically from day one.
Key Responsibilities: EA Support for Founder and Clients: Manage scheduling, communications, and administrative tasks for the founder and early clients.Standard Operating Procedures (SOPs): Determine best practices, develop and maintain SOPs to support business operations.Onboarding & Training: Facilitate onboarding of new clients and train new EAs, ensuring a high standard of service delivery.Infrastructure Building: Collaborate on building core business tools, including:Knowledge Base: Set up and maintain information databases, primarily on Notion.Operational Model & Cadence: Establish workflows and cadence for a streamlined EA team operation.Project Management: Oversee new initiatives and projects from inception to completion, ensuring timely delivery and alignment with business goals.Growth Opportunities: Team Leadership: Opportunity to lead teams of EAs as the business scales.Cross-Functional Projects: Support sales, marketing, and other business development initiatives.Chief of Staff Potential: Opportunity to grow into a cross-functional Chief of Staff role.Qualifications: Experience: Prior experience as an EA is beneficial but not essential. We seek a self-starter with strengths in organization, adaptability, and problem-solving.Skills: Ability to develop and maintain SOPs, train team members, and implement systems.Technical Proficiency: Familiarity with Notion, project management tools, and an interest in developing operational models.Attributes: Self-motivated, detail-oriented, and driven to contribute meaningfully to a growing company.Nice-to-have: Any experience working at a US-based financial service or adjacent firm for senior people/partners.A general understanding of firm names/finance ecosystem, levels/titles, etiquette, and language is helpful but not required.Please note: To ensure prompt processing of your application, we kindly request that you submit your resume and intro video in English format.
